How to use this app

๐Ÿš€Getting started

  1. Sign in with Google on the login page. Your workspace is created automatically the first time - no card or setup needed.
  2. Pick your business type when the welcome tour asks (Clinic, Shop, Salon...) and every screen, report and print-out uses your words. You can fine-tune the wording later in Settings โ†’ General.
  3. Bring in data either by importing a file (the export from your billing software) or by adding invoices by hand - most people use both.
  4. The Dashboard fills in as soon as the first money is recorded. Curious what it will look like? The empty dashboard has a See a demo dashboard button that shows it filled with sample numbers - nothing is saved to your workspace.

๐Ÿ“ฅImporting data (Receipts โ†’ Import tab)

  • Drop an .xlsx, .xls or .csv export onto the Import tab of the Receipts page. The app reads the dates inside the file and detects what it is automatically:
    • One day โ†’ imported straight into your data. Re-importing the same day is safe - receipts are de-duplicated by their number.
    • A month or a year โ†’ cross-checked against what you already have. Missing receipts are added; anything that differs becomes a pending correction that must be approved before it changes your numbers (see Settings โ†’ Reconcile).
  • Unusual column names? The app maps them automatically (with optional AI help) and remembers the layout for next time.
  • Manually-entered and previously-corrected receipts are protected - an import never silently overwrites them.

๐ŸงพInvoices, payments & dues (Invoices page)

  • New invoice: enter the invoice number, client details, amount and service, then choose how it's paid:
    • Paid in full - the whole amount is collected now.
    • Part payment - enter what was received; the rest becomes a due.
    • Record payment later - the invoice is saved with the full amount due.
  • Dues tab: every invoice with an outstanding balance, in one list. Click Record payment to log money whenever it arrives - part payments are fine, and each payment counts toward the day it was actually received.
  • Bulk grid: type a whole day of fully-paid invoices at once - fastest for catching up on a paper book.
  • Phone number is optional for fully-paid invoices; it's required only when an amount stays due, so you always have a way to follow up.
  • ๐Ÿ“ฒ WhatsApp: send a payment confirmation from an invoice's payment list, or a polite reminder from the Dues tab. One tap opens WhatsApp with the message pre-filled - nothing is ever sent automatically.
  • Payments can be removed (the amount becomes due again), invoices can be edited, and everything is written to the activity log.

๐Ÿ“’Receipts ledger (Receipts page)

  • Every receipt, day by day, with per-day totals and payment-mode tags. Pick a period from the range dropdown (Today, Last 7 days, This FY...) or set your own dates.
  • Days with no receipts are highlighted so gaps get noticed; switch to the calendar view for a month-at-a-glance picture.
  • Use the ๐Ÿ–จ print link on any day for a one-page, signature-ready daily sheet - with one click it can also include that day's expenses and the net.
  • ๐Ÿ“ฒ Share any day's summary on WhatsApp: total collected, receipt count and the cash/UPI split, pre-filled and ready to send.

๐Ÿ’ธExpenses (Expenses page)

  • Log what goes out: date, amount, what it was for, and which account paid.
  • Two buckets: your business and personal/asset spending - the dashboard shows expenses and net after expenses with either view.
  • ๐Ÿ“ท Scan photo: point it at a payment screenshot or a paper receipt and the form pre-fills itself. The photo is read entirely on your device and never uploaded or stored - review, correct, save.
  • Print a filtered statement for any period with the ๐Ÿ–จ button.

๐Ÿ“ŠDashboard

  • Collections, payment-mode split, per-staff member performance, top services, discounts and client insights for any date range.
  • Quick actions at the top - ๏ผ‹ Add invoice and ๏ผ‹ Add expense - so recording money is one tap from the numbers.
  • Comparison card: today vs the same day last week / month / year.
  • AI insights (optional): one click gives a plain-language summary of what changed and why it matters.

โš™๏ธSettings (owner)

  • General: rename what the app calls things - Doctor/Patient for a clinic, Salesperson/Customer for a shop. Every page, report and print-out follows.
  • Team: invite staff by email. They sign in with their own Google account and share your workspace. You grant rights per person: dashboard access and the right to approve corrections.
  • Reconcile: the history of every monthly/yearly cross-check, with pending corrections waiting for approval.
  • Activity: a tamper-evident log of every change - deletions, amount reductions, unusually high discounts and back-dated entries are flagged.

๐Ÿ’กGood to know

  • Money always counts on the day it was received - a part payment recorded next week shows up in next week's collections, while the invoice keeps its own date.
  • Nothing is ever silently overwritten or lost: imports cross-check, corrections need approval, and deletions are logged and flagged.
  • Works on any device with a browser - staff at the desk, you on your phone.
